Privacy Policy

Personal Data means data about a living individual who can be identified from that data (or from that data combined with other information in our possession).

Usage Data is data collected automatically, either generated by use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Data Controller means the person or entity that determines the purposes for which personal data are processed. For your ClassQuill account and subscription, we are the Data Controller. For student and client data that your business stores within ClassQuill, your tutoring business is the Data Controller and ClassQuill acts as a Data Processor on your behalf.

Data Processor means any person who processes data on behalf of the Data Controller. ClassQuill processes student and client data stored by tutoring businesses solely to provide the Service.

A. Account & Business Data

• Identity Data: Your name, email address, and business name provided during signup.
• Contact Data: Business address, phone number, and billing contact information.
• Billing Data: Payment method details are handled by Stripe. We store only transaction records and subscription status for billing management.

B. Tutor & Staff Data

When you invite tutors or staff to your ClassQuill account, we collect and store their names and email addresses in order to create their accounts. Tutors may additionally provide:

• Profile information (qualifications, subjects, availability)
• Bank account details for payroll (encrypted at rest)
• Location information for in-person session matching and mileage tracking

C. Student & Client Data

Student and family data entered into ClassQuill (names, contact details, session records, invoices, notes, progress data) is owned and controlled by your tutoring business. ClassQuill processes this data solely to deliver the Service. You are responsible for obtaining any consents required from your clients under applicable privacy law, including the Privacy Act 1988 (Cth).

D. Usage Data

We collect data about how users interact with the platform (pages visited, features used, session duration) to improve the Service. This data is aggregated and does not identify individual users.

E. Device Permissions

• Camera & Microphone: Used for video calling features during tutoring sessions. Access is only active during an active call. We do not record or store call media.
• Location: Used for in-person session matching and tutor mileage tracking when you explicitly enable it. You can revoke location access at any time via your device settings.

F. Tracking & Cookies

We use cookies and local storage for essential functionality only: authentication sessions, preference settings (theme, sidebar state), and security. We do not use third-party advertising or tracking cookies.

• Provide and maintain the Service — operating the platform and managing your account and subscriptions.
• Billing and payments — processing subscription charges and seat adjustments.
• Customer support — responding to your requests and diagnosing issues.
• Service improvement — analysing usage patterns to improve features (using aggregated, anonymised data).
• Error monitoring — detecting and fixing technical issues.
• Communications — sending service updates, product announcements, and billing notifications. You may opt out of non-essential communications at any time.

We do not use your data or your clients' data for advertising, and we do not sell data to third parties.

• Account data: Retained while your account is active. Deleted upon request (see Your Rights below).
• Student & session data: Retained until you delete it or cancel your account. Upon cancellation you may request a data export.
• Analytics data: Anonymised usage data retained for up to 12 months.
• Error logs: Retained for up to 90 days.
• Transaction records: Retained as required by Australian tax law.

Your information, including Personal Data, may be transferred to and maintained on computers located outside of Australia where data protection laws may differ. We do not rent or sell your personal information to other companies or individuals. By using the Service, you consent to this transfer. ClassQuill takes all steps reasonably necessary to ensure your data is treated securely and in accordance with this Privacy Policy.

We do not sell your data. We share information only with:

• Stripe — for payment processing and subscription management. Stripe adheres to PCI-DSS standards. See stripe.com/au/privacy.
• Apple Inc. — if you sign in with Apple ID, we receive your name and email address only. We do not receive your Apple password or payment information.
• Google LLC — if you sign in with Google, we receive your name and email address only. We also use Google Maps Platform to calculate travel distances for in-person tutoring and mileage features; only the addresses needed for that calculation are sent.
• Accounting providers (Xero & MYOB) — if your organisation connects its accounting software, we share the invoice and contact data needed to create or update records in that system. This only applies to organisations that explicitly enable the integration.
• PostHog — for anonymous usage analytics to understand how the platform is used. No personally identifiable information is shared.
• Sentry — for error monitoring. Sentry may collect IP address, browser information, and error context when issues occur.
• Secure hosting providers — to provide the infrastructure required to run the Service.
• Law enforcement — only if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Business Transaction

If ClassQuill is involved in a merger, acquisition, or asset sale, your Personal Data may be transferred. We will provide notice before your Personal Data is transferred and becomes subject to a different Privacy Policy.

The security of your data is important to us. We implement industry-standard security measures including encryption at rest and in transit. However, no method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

We do not currently support "Do Not Track" (DNT) signals. You can enable or disable Do Not Track via your browser's Preferences or Settings page.

Under the Privacy Act 1988 (Cth) and applicable Australian Privacy Principles, you have the right to:

• Access a copy of the Personal Data we hold about you.
• Request correction of any inaccurate Personal Data.
• Request deletion of your Personal Data (subject to legal retention obligations).
• Request a data export of your account and business data before cancellation.

If you are an end student or parent whose data has been entered into ClassQuill by a tutoring business, please contact that tutoring business directly — they are the Data Controller for your information.

Our Service may contain links to other sites not operated by us. If you click on a third-party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and will let you know via email and/or a prominent notice on our Service prior to the change becoming effective. You are advised to review this Privacy Policy periodically for any changes.
